SUMMARY: Under general supervision, the incumbent provides clerical services including the preparation of correspondence in final form, directing visitors and callers, maintaining departmental files and records, and producing reports. The Administrative Assistant 2 acts as a liaison to customers and other departmental staff.? The incumbent will be required to maintain confidentiality and professionally interact with management, associates, customers and the public. In addition, the incumbent maintains confidential customer and department records.? The incumbent may also have primary responsibility for the preparation of reports that are submitted to the various department committees and may serve as secretary of formal committees.?
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.? Other duties may be assigned.
* Perform duties of Administrative Assistant 1 as necessary. * Act for and on behalf of supervisors on many matters that do not require their direct participation. * Responsible for accuracy and appearance of finished work of the department to project a professional image. * Establish and maintain personal and confidential business files in an efficient and accurate manner.? This includes but not limited to maintenance of department policy and procedures manual and reconciliation of various accounts. * Make appointments and schedule meetings for department. ?Maintain supervisor/department's calendar. As directed, answer phones for other department associates. * Assist with research and data compilation to be used in presentations. * Assist with compilation and distribution of agenda items for recurring meetings. * With some oversight and direction, coordinate logistics and make arrangements for management, committee, board and other meetings/events. * Provide assistance with customers and visitors as needed (such as assisting with building or safe deposit box access, sign-in and other requests, etc.) ensuring all security measures are followed. * As needed, train Administrative Assistant 1 positions.? * Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.
